Terms & Conditions
1. Acceptance of Terms
By making a booking at Myoko Forest Chalet, you agree to these Terms & Conditions. These terms form a binding contract between you (the Guest) and the owner/operator of Myoko Forest Chalet.
2. Booking and Confirmation
A booking is confirmed only when full payment has been received and a confirmation email has been sent by us. The person making the booking must be at least 18 years old and authorised to accept these terms on behalf of all guests in the group.
3. Maximum Occupancy & Private Use
The chalet is rented as a private whole-home for a maximum of 20 guests (including children and infants). Only the guests named on the booking confirmation may stay overnight. Additional guests or visitors require prior written approval.
4. Payment
Full payment is required at the time of booking for reservations made within 60 days of check-in. For bookings made more than 60 days in advance, a 50% deposit is required to secure the dates, with the balance due 60 days before arrival. All payments are non-transferable.
5. Cancellation Policy
Please refer to our Cancellation Policy (linked on the Rates & Availability page and in the FAQs). More than 60 days before arrival: 100% refund (free cancellation). 60 days or fewer before arrival: No refund.
6. Check-in and Check-out
Check-in time: from 3:00 PM. Check-out time: by 10:00 AM. Late check-out is subject to availability and an additional fee.
7. House Rules
All guests must comply with the House Rules displayed on our website and provided in the chalet. Failure to follow the House Rules may result in immediate termination of the booking without refund and/or additional charges.
8. Damage, Loss and Security Deposit
You are responsible for any damage to the property, furnishings, or contents caused by you or your group beyond normal wear and tear. A security deposit of ¥100,000 (or equivalent) may be held on your card from 7 days before arrival until 14 days after departure. Any damage, excessive cleaning, or missing items will be deducted from this deposit. You must report any pre-existing damage upon arrival.
9. Liability
We are not liable for any loss, damage, or injury to persons or property arising from your use of the chalet, except where caused by our negligence. Guests use the hot tub, fireplace, and all facilities at their own risk. Children must be supervised at all times.
10. Smoking, Parties and Illegal Activities
Smoking is strictly prohibited inside the chalet. Parties, events, and any illegal activities are forbidden. Violation will result in immediate eviction without refund and possible additional charges.
11. Force Majeure
We are not responsible for any failure to perform due to events beyond our reasonable control (e.g., natural disasters, extreme weather, pandemics, government restrictions, or damage to the property).
12. Privacy
Your personal information is collected and processed in accordance with our Privacy Policy and applicable Japanese data protection laws.
13. Governing Law
These Terms & Conditions are governed by the laws of Japan. Any disputes shall be subject to the exclusive jurisdiction of the courts in Niigata Prefecture.
14. Changes to Terms
We reserve the right to update these Terms & Conditions at any time. The version published on the website at the time of booking will apply.
